These Booking Terms & Conditions apply to tours, transportation services, multi-day trips, and complete travel packages booked directly with Inka Triperu through our website, email, WhatsApp, telephone, or other authorized communication channels.
By confirming a reservation and making the required deposit or payment, you acknowledge that you have read, understood, and accepted these terms.
1. Making a Reservation
A reservation is considered confirmed once:
- The required booking information has been provided.
- The applicable deposit or payment has been received.
- Inka Triperu has sent written confirmation of the reservation.
Availability displayed or discussed before payment is not considered guaranteed until the booking has been formally confirmed.
Certain tours, entrance tickets, trains, accommodations, and other services are subject to availability from third-party providers.
2. Booking Deposit
A deposit may be required to confirm your reservation.
The booking deposit is non-refundable.
The deposit allows Inka Triperu to begin arranging and securing services associated with your trip, which may include entrance tickets, permits, transportation, guides, accommodation, train tickets, or other services.
The required deposit amount may vary depending on the tour or travel package.
The remaining balance and applicable payment deadline will be communicated at the time of booking.
3. Final Payment
The remaining balance must be paid according to the payment schedule provided in your booking confirmation.
Some tours or travel packages may require full payment before arrival in Peru, while others may allow the remaining balance to be paid closer to the departure date.
Failure to complete payment by the agreed deadline may result in cancellation of the reservation.
Any non-refundable services already purchased or reserved on behalf of the traveler may not be recoverable.
4. Prices
Prices are generally quoted in US dollars (USD) unless another currency is clearly indicated.
The price confirmed at the time of booking will be based on the itinerary, number of travelers, selected services, travel dates, and other agreed arrangements.
Prices may include applicable services such as:
- Guided tours
- Private or shared transportation
- Accommodation when included in the package
- Entrance tickets
- Train or bus tickets
- Transfers
- Activities specified in the itinerary
- Other services specifically listed in the booking confirmation
Only the services specifically described as included in your itinerary or booking confirmation are considered part of the package.
5. Services Not Included
Unless expressly stated in your itinerary, services such as the following may not be included:
- International or domestic flights
- Travel insurance
- Meals not specified in the itinerary
- Personal expenses
- Tips or gratuities
- Additional hotel nights
- Optional activities
- Visa or immigration expenses
- Medical expenses
- Excess baggage charges
- Services requested after confirmation
Travelers should carefully review the “Included” and “Not Included” sections of their itinerary before confirming a reservation.
6. Traveler Cancellation
If you decide to cancel your trip, you must notify Inka Triperu in writing by email or another authorized communication channel.
The initial booking deposit is non-refundable.
Additional cancellation charges may apply when Inka Triperu has already made payments to third-party providers on your behalf.
These may include:
- Machu Picchu entrance tickets
- Inca Trail or trekking permits
- Train tickets
- Domestic transportation
- Accommodation
- Entrance fees
- Guides
- Private transportation
- Other prepaid travel services
Where possible, Inka Triperu will inform the traveler of any recoverable balance after deducting the non-refundable deposit and any non-recoverable expenses already incurred.
7. Non-Refundable Tickets and Permits
Certain tickets and permits issued by government authorities or third-party tourism providers may be:
- Non-refundable
- Non-transferable
- Non-changeable
- Issued using the traveler’s personal or passport information
This may apply particularly to services associated with Machu Picchu, the Inca Trail, train transportation, archaeological sites, and similar regulated attractions.
Once these services have been purchased or issued, Inka Triperu cannot guarantee changes, transfers, or refunds.
8. Changes Requested by the Traveler
Requests to modify travel dates, passenger names, hotels, transportation, tours, or other confirmed services are subject to availability.
Additional costs may apply.
Some tickets and permits cannot be modified after purchase.
Inka Triperu will make reasonable efforts to accommodate requested changes but cannot guarantee that a modification will be possible.
Any additional cost caused by a traveler-requested change will normally be the responsibility of the traveler.
9. Changes by Inka Triperu
Occasionally, changes to an itinerary may become necessary because of circumstances affecting the safe or practical operation of a tour.
These circumstances may include:
- Weather conditions
- Road closures
- Strikes or demonstrations
- Government restrictions
- Archaeological site restrictions
- Transportation interruptions
- Natural events
- Safety concerns
- Changes made by third-party service providers
When reasonably possible, Inka Triperu will arrange a suitable alternative while maintaining the general nature and value of the booked service.
Travelers will be informed of significant itinerary changes whenever reasonably possible.
10. Cancellation by Inka Triperu
If Inka Triperu is unable to provide a confirmed service for reasons directly attributable to the company, we will evaluate an appropriate alternative, rescheduling option, or applicable refund according to the circumstances and services affected.
Refund calculations may take into consideration services that have already been properly provided or irrevocably purchased from third parties.
Nothing in these Booking Terms & Conditions is intended to limit rights that travelers may have under applicable consumer protection laws.
11. Force Majeure and Events Beyond Our Control
Inka Triperu cannot guarantee the normal operation of travel services when circumstances arise that are beyond our reasonable control.
These may include, but are not limited to:
- Natural disasters
- Earthquakes
- Landslides
- Flooding
- Extreme weather
- Political or civil disturbances
- Strikes
- Road blockages
- Government actions
- Public health emergencies
- Closure of archaeological sites
- Transportation interruptions
- Changes imposed by authorities
- Other extraordinary or unavoidable circumstances
In such situations, the priority will be traveler safety and the practical continuation of the trip where possible.
Additional expenses caused by circumstances beyond Inka Triperu’s control may be the responsibility of the traveler.
We strongly recommend comprehensive travel insurance.
12. Travel Insurance
Travel insurance is strongly recommended for all travelers visiting Peru.
A suitable policy should preferably provide coverage for:
- Trip cancellation or interruption
- Medical emergencies
- Emergency evacuation
- Adventure or trekking activities when applicable
- Lost or delayed luggage
- Travel delays
- Missed transportation connections
It is the traveler’s responsibility to select insurance appropriate for their itinerary and personal circumstances.
13. Passports and Personal Information
Travelers are responsible for providing accurate information when making a reservation.
For some travel services, we may require:
- Full legal name
- Passport number
- Nationality
- Date of birth
- Passport expiration date
The information provided must correspond with the traveler’s official identification documents.
Errors in names, passport numbers, dates, or other personal information may result in additional fees or the inability to use a ticket or permit.
Any costs associated with incorrect information supplied by the traveler may be the traveler’s responsibility.
14. Passports, Visas and Entry Requirements
Each traveler is responsible for ensuring that they have:
- A valid passport
- Any required visa
- Appropriate immigration documentation
- Required vaccinations or health documentation, where applicable
Travel requirements may vary according to nationality and destination.
Travelers should verify current requirements with the appropriate government authorities before departure.
15. Health and Physical Requirements
Some tours in Peru involve:
- High altitude
- Hiking
- Uneven terrain
- Long travel days
- Remote locations
- Significant changes in weather and temperature
Travelers are responsible for considering whether a tour is appropriate for their physical condition.
Any relevant medical condition, mobility limitation, dietary requirement, or other circumstance that may affect participation should be communicated to Inka Triperu before the trip.
Providing this information allows us to better evaluate whether reasonable arrangements can be made.
16. Altitude and Adventure Travel
Destinations such as Cusco, the Sacred Valley, Machu Picchu, and high-altitude trekking routes may present physical challenges.
Travelers should allow sufficient time to acclimatize when appropriate and follow recommendations provided by qualified medical professionals.
Participation in hiking, trekking, adventure activities, or high-altitude travel involves inherent risks that cannot be completely eliminated.
Travelers participate in such activities with an understanding of these normal travel risks.
17. Transportation
Transportation may be operated directly by Inka Triperu or by authorized third-party transportation providers.
Travel times may vary because of:
- Traffic
- Road conditions
- Weather
- Construction
- Demonstrations
- Road closures
- Other operational circumstances
Pickup times are approximate unless expressly confirmed otherwise.
Travelers should be ready at the agreed pickup location at the specified time.
18. Accommodation
For travel packages that include accommodation, the hotel category and room type will be stated in the itinerary or booking confirmation.
If a confirmed accommodation becomes unavailable, we may arrange another property of a reasonably comparable category and standard.
Early check-in and late check-out depend on hotel availability and are not guaranteed unless specifically included.
19. Third-Party Services
Some parts of your trip may be provided by independent companies or organizations, including:
- Hotels
- Train operators
- Bus companies
- Airlines
- Transportation companies
- Restaurants
- Archaeological attractions
- Government authorities
- Local activity providers
These providers may have their own terms, schedules, restrictions, cancellation policies, and operational rules.
Inka Triperu coordinates these services as part of your travel arrangements but does not control decisions made independently by public authorities or third-party operators.
20. Traveler Responsibilities
Travelers are expected to:
- Follow instructions provided by guides and authorized staff.
- Arrive on time for scheduled departures.
- Respect local communities, archaeological sites, and natural environments.
- Follow applicable laws and regulations.
- Treat guides, drivers, hotel staff, other travelers, and local residents respectfully.
- Avoid behavior that could endanger themselves or others.
In serious situations involving unsafe, illegal, threatening, or disruptive behavior, participation in a tour may be terminated where reasonably necessary to protect travelers, staff, or third parties.
21. Missed Services
If a traveler misses a tour, transportation service, train, entrance time, or other booked service because of:
- Late arrival
- Incorrect travel information
- Personal itinerary changes
- Missed flights
- Failure to appear at the agreed location
- Other circumstances attributable to the traveler
the service may be considered used or lost.
Any additional arrangements required may involve extra costs.
22. Delays and Travel Connections
Travelers should allow sufficient time between independent flights, trains, tours, or other transportation services.
Unless specifically sold as part of the same travel package, Inka Triperu is not responsible for independent arrangements booked separately by the traveler.
We recommend avoiding very tight flight or transportation connections, particularly around multi-day tours and trekking programs.
23. Children and Minors
Travelers under 18 must travel with a parent, legal guardian, or another responsible adult with the documentation required by applicable authorities.
Parents or guardians are responsible for determining whether a particular tour is suitable for the child.
Some tours may have minimum age recommendations or restrictions depending on the activity.
24. Complaints and Problems During the Trip
If you experience a problem during your trip, please notify your guide or Inka Triperu as soon as reasonably possible.
Reporting an issue promptly gives us an opportunity to investigate and, where possible, resolve the situation while the service is still taking place.
Complaints may also be submitted in writing after the trip.
25. Photography
During some tours, photographs or videos may occasionally be taken by our team.
We will respect reasonable requests from travelers who prefer not to appear in promotional photographs or videos.
Travelers may inform their guide or contact our team if they do not wish their image to be used.
26. Personal Belongings
Travelers are responsible for taking reasonable care of passports, money, electronic devices, luggage, and other personal belongings.
We recommend keeping important documents and valuables secure throughout the journey.
27. Acceptance of These Terms
Payment of the required deposit or confirmation of the reservation indicates acceptance of these Booking Terms & Conditions by the traveler making the booking.
The person making a reservation on behalf of multiple travelers is responsible for ensuring that the other members of the booking are aware of the applicable terms and travel conditions.
28. Applicable Law
These Booking Terms & Conditions are intended to operate in accordance with applicable laws and consumer protection regulations in Peru.
Nothing contained in these terms is intended to exclude or restrict rights that cannot legally be excluded under applicable legislation.
